Newsletter360: subscriber list, sends and open reporting
Collect subscribers from a form on your site, build an HTML newsletter, test it, send it from a queue and track opens.

The subscriber list#
Subscribers are a list of their own, separate from CRM Contacts: everyone who wants the newsletter lives here.
- Columns: email, name, status (Subscribed / Unsubscribed), score, opens (opened / sent), last open, source and signup date. The list uses the standard list view tooling for filtering and sorting (see List views).
- The score shows how much of what you sent that subscriber actually opened; low scores are the dead part of your list.
- Unsubscribe on a row drops someone from sends, Resubscribe brings them back. Use New to add a subscriber by hand.
Where subscribers come from: your site form#
The subscribe form on your website posts to Ohana360 from your server, and the addresses land straight in the Subscribers list. The Form Integration card on the home page shows the ready-made request with your org number and form key. The key is your web form sharing key from Setup and must stay secret (see Web forms).
- Fill in the
sourcefield in the request (for examplesite-footer); the Source column then shows which form brought what. - If someone who previously unsubscribed fills the form in again, we treat that as fresh consent and the subscription is reactivated.
Building a newsletter#
- Press New on the Newsletters tab.
- Enter a newsletter name (internal), an email subject and the HTML content.
- Writing
{ad}in the content substitutes the subscriber's name. The unsubscribe link is appended to every newsletter automatically; you do not have to add one. - Use Preview to check the rendered HTML, then save. A new newsletter starts as a Draft.
Test and send#
- Test: asks for one address and sends a copy with "[TEST]" in front of the subject. Always send a test before the real thing.
- Send: confirms how many subscribers it will reach, then queues every address in Subscribed status. Sending runs in the background at a pace that protects deliverability; you can close the browser.
- The status path is Draft, Sending, Sent. Once the queue empties, the status flips to Sent on its own.
The send report#
The Statistics column in the newsletter list gives the sent, opened, queued and failed counts; while a send is running a progress bar appears next to it and the numbers refresh themselves. Refresh updates them instantly. Opens are measured with an invisible pixel in the message, and this is what feeds each subscriber's score and last open date.
The newsletter home page#
The home page gives four counters: Subscribed, Unsubscribed, New in the last 30 days and Newsletters sent. The newsletters needing attention list underneath surfaces waiting drafts (with how many days they have waited) and sends that are still running. The latest newsletters and the Form Integration card sit on the same screen.
Sender and unsubscribing#
The newsletter goes out on behalf of your org: the display name is your organization name, and if you verified your organization email under Company Information, replies come back to your address (see E-mail). The unsubscribe link at the bottom of every newsletter works in one click: the subscriber moves to Unsubscribed and is excluded from every later send.
Consent and the legal frame#
A newsletter is a commercial electronic message. Make sure your list is consented, keep your consent records and never delay an unsubscribe. For consent management see Compliance. To prevent abuse, the number of campaigns an org can send per day is capped.
