Portal360: a customer and supplier portal

Your customers or suppliers sign in with their own account and see only the orders, invoices, cases and articles tied to their company.

What is it for?#

Portal360 is the add-on that opens a narrow window for people outside your org. A portal user never enters the CRM; they sign in with their own email and password to a separate, simple interface that lists only records tied to their own company. The typical use: taking "could you resend the invoice", "where is my order" and "something is wrong" out of your inbox.

Portal type#

Every portal user has a type: Customer or Supplier. The type only changes the titles and wording (Customer Portal / Partner Portal); the data is filtered by the same rule either way. You choose the type when inviting, and can change it later from the list on Portal360 > Home.

Inviting a portal user#

  1. On Portal360 > Home, press Invite Portal User (visible to admins only).
  2. Enter the person's email, pick the Account record they belong to and set the type.
  3. Send Invite: the invitation email goes out. The user sets their own name and password; the link is valid for 7 days.

Sent invitations appear on the same page as Pending Invites, with Resend and Cancel links. Expired invites are flagged. The users also show up in Setup > Users with the "Portal" role (see Users and profiles).

What the portal shows#

The portal has three tabs:

  • My Orders: orders belonging to the user's company. Each card shows the order number, name, amount, a status badge and a progress strip for Draft, Approved and Invoiced, with the line items underneath. If invoices exist, a My Invoices list follows on the same tab: invoice number, status, due date and amount.
  • My Cases: the support cases this user opened, their status and the resolution note if there is one. + New Case opens a new one with a subject and description.
  • Knowledge Base: the articles published in Knowledge360, with a search box. Clicking one opens the full text.

Cases opened from the portal#

When a portal user opens a case, a new record appears in Service360: channel Portal, status New, priority Medium, account the portal user's company. Your record-triggered flows run on it as usual and your team gets a "new case from the portal" notification (see Service360).

Access and limits#

  • A portal user sits on the Partner (Portal) profile: no access to CRM tabs, reports or any other customer's data.
  • Only their own company's orders and invoices, their own cases and published articles are visible.
  • Portal users are excluded from team chat and are not counted as team users; they are billed separately.
  • The portal has no record editing, no file upload and no invoice download; it is for reading and for opening cases.
  • An admin can press View portal in the list to see the portal through that user's eyes, and returns to their own account from the top right.

Before you open the portal#

  1. Decide which Account record each portal user belongs to. Everything the portal shows is filtered by that link; a user attached to the wrong account sees the wrong orders.
  2. Make sure that account's orders and invoices are in the right status: the portal shows exactly what the CRM says.
  3. Try it with one customer first. As an admin, use View portal to see the same screen yourself, then widen the invitations.

Enabling it and the package model#

Portal360 is a monthly add-on enabled from the Marketplace. The fee includes 10 portal users; every additional 10 portal users adds one more package. The Package Summary shows this as its own line (see Pricing).

Tip: Before opening the portal, write Knowledge360 articles for your five most frequent questions; the portal user finds the answer before opening a case.
