The utility bar and keyboard shortcuts

The seven items in the bar at the bottom of the screen, personal and org-wide settings, keyboard shortcuts and the command palette.

What is the utility bar?#

The utility bar is the thin strip that always sits at the bottom of the screen. Whatever page you are on, it gives you your everyday tools: clicking an item opens a small panel above it without leaving the page. Buttons in the panel header let you enlarge or close it.

At the right end of the strip you also get a Help link and a save-status indicator: Online, Saving, Could not save, or Offline. Chat, My Tasks and Calendar show a small count when something is waiting.

Notes and linking to a record#

If you take a note while a record page is open, the panel offers Link to this record. Tick it and the note is attached to that record, with a link underneath that takes you back in one click. Record pages also carry a My Notes card; whether it appears is managed under Setup > Record Page Layout.

Making the bar your own#

  • You can reorder items by dragging and dropping them.
  • The pencil button on the right opens Edit Utility Bar: change the order and hide items you never use. This preference affects only your own view.

Which items are on org-wide?#

Admins decide which items appear across the org from the Utility Bar Items card under Setup > App Manager. Users can narrow their own view within that frame, never beyond it.

Keyboard shortcuts#

To see the full list inside the app, click Shortcuts in the utility bar or press ? on any page; the same panel opens and Esc closes it.

Shortcuts never fire while you are typing in a field, so a panel will not pop open mid-sentence. Letter shortcuts are pressed in sequence: G first, then the second letter right after.

The command palette#

Command + K (Ctrl + K on Windows) opens a single search box. From there you can:

  • search records (two or three letters are usually enough),
  • switch to an app,
  • create a new record,
  • and, if you are an admin, find a Setup section by name and open it directly (for example "flows", "profiles", "security").

Navigate with the up and down arrows, open with Enter, close with Escape.

Getting around Setup#

  • Quick find: the box above the left menu filters section names in both Turkish and English; Enter opens the first result.
  • Collapsible menu: the arrow button shrinks the left menu into a thin icon strip and expands it again. Group headings fold too, and your choice is remembered.
  • Breadcrumb: above the content you always see Setup > Group > Section.
  • Deep links: every Setup section has its own address (such as #/setup/flows); bookmark it or send it to a teammate.
Tip: Move the two or three items you use most to the left of the bar and hide the rest. A short strip means you find what you need at first glance every time.

Following: the records you follow#

The Following item (next to Favorites, shortcut G then W) lists the records where you pressed Follow on the record page: object icon, record name, object type and the follow date. Click a row to open the record; the ✕ on the row unfollows without opening it. If someone else posted on a followed record since you last opened the panel, the item lights up blue with a count, and each row shows the number of new posts. The same list lives on your profile page as the Records I Follow card.

Favorite vs. follow: a favorite is "a place I go often", a follow is "a record I want news about". Followed records notify you on changes and posts; favorites never notify.

Quick Create: aware of the open app#

The Quick Create item, the + at the top right and the "New ..." rows in the command palette share one registry. The list follows the open app: your recently used items first, then that app's records (Case / Hearing / Power of Attorney in Legal360, Patient / Appointment / Payment in Clinic360, and so on) plus the custom objects attached to the app, and on a record page a For this record group with a linked task and event. Type in the box to filter, use ↑↓ and Enter to pick.
