Products and Price List

One catalog of what you sell: opportunity line items, quotes, orders and invoices are all fed from this list.

Where is it?#

The product catalog sits on the Sales360 > Products and Finance360 > Products tabs. They are the same list: whichever door you use, you see the same records. It is a fully equipped list view, so you can filter, choose columns, save your own views and edit in place by double-clicking a row (see List views).

The product record#

A product in use cannot be deleted. That guard stops the line items of past quotes and orders from losing their reference. Instead of removing a product you no longer sell, rename it or zero its price.

Opportunity line items#

  1. On the opportunity record page, press Add Product on the Products card.
  2. Pick the product from the price list: the unit price fills in from the list automatically.
  3. Enter the quantity. If this deal gets a special price, change the unit price; a warning line appears when you deviate from the list price, and the item still saves.

From the first line item onwards, the opportunity amount is calculated from the items and the amount field is no longer editable by hand. Remove the items and the amount becomes free again.

From quote to cash#

  • Create Quote (opportunity record page): produces a printable quote from the line items. With no items, the opportunity amount is used as a single line. The quote carries VAT and a validity date.
  • Create Order: appears only on won opportunities. It copies the line items into order lines and opens a numbered order. A second order cannot be created from the same opportunity; you are taken to the existing one.
  • Invoice (order record page): asks for the payment term in days and the VAT rate, then issues the invoice from the order lines.
  • Add Payment (invoice record page): records the payment; partial payments are supported and the remaining balance stays visible.

Quote parameters#

The VAT rate on the quote, its validity period and the monthly revenue target are managed in one place: the Sales and Quote Parameters section on the App Settings card of Sales360 > Home. The number of days in Quote Validity (days) sets the validity date printed on the quote, counted from today. This card is visible to admins only.

Who can see it?#

The product object sits in the Finance360 group of the profile permission matrix: you grant read, create, edit and delete per profile (see Users and profiles). The common setup is this: the sales team can see the catalog but not change it, and only admins or finance edit the price list. Quotes then come out of a single pricing truth; the field can still discount on the line item, and that deviation stays visible on the quote.

Stock and Commerce360#

Important: There is no stock field on the Products and Price List; this list is a price catalog. Quantity, low-stock level and stock deduction live on Commerce360's own Products object, and the two lists are independent. If you both quote and sell from a store, define the product in each catalog.
Tip: Keep the catalog short. Rather than a separate product per variant, define the main product and handle the difference with the unit price on the line item: quotes stay simple and reports stay readable.

Product record page#

Clicking a product name in the list now opens a standard record page instead of an edit dialog: Details (name, code, unit price, description), an Opportunity Line Items card (the opportunities that use this product with quantity, unit price and total), the timeline, files and posts. E edits, the trash icon moves the product to the recycle bin. Products can also be created from the quick create menu in Sales360 and Finance360.
